Innovative approach to integrating technology

Challenge

Four Seasons Fairways, a luxury resort with 132 villas and extensive facilities, was held back by outdated digital systems. Staff had to manually manage availability and pricing, causing booking errors and wasted time. The resort had no integrated members’ area, no live connection with their PMS (HostPMS) or timeshare system (Aurora), and offered a poor online experience. The unique timeshare model, allowing owners to rent, sell, or exchange their weeks, had no digital support, leaving members and staff frustrated.

Project

We led a complete digital transformation of the resort’s online presence and booking systems. This included a brand-new WordPress website with a custom-built booking engine adapted for weekly villa rentals, integrated Stripe payments, and advanced tariff management. A members-only portal was created, allowing owners to manage bookings, rentals, sales, and exchanges. Alongside the website, we developed iOS and Android apps for guests and members, enabling restaurant reservations, minimarket orders, event browsing, and even villa appliance manuals - delivering a fully connected digital ecosystem.

Strategy

The project was a co-creation process lasting over six months, with our team working on-site alongside operations, sales, management, finance, IT, and member services. Through workshops and iterations, we rethought the entire timeshare experience and booking flow, building a solution from the ground up. More recently, we extended the platform with a pre-arrival system that automates guest interactions before arrival, from guest details, mini-market pre-order, booking of a table in resort, request of golf tee times to car hire rentals - instantly routing data to the relevant departments for maximum efficiency.

Results

The new solution revolutionized both staff operations and member experience. Manual errors and inefficiencies were replaced with automated, interconnected systems. Members gained full control over their ownership weeks, rentals, sales, and exchanges directly online. Guests enjoy a seamless booking flow and personalized pre-arrival services, while staff benefit from reduced workload and real-time integrations with PMS and timeshare systems. Four Seasons Fairways now runs on one of the most advanced resort booking and membership platforms in Portugal - and among the most innovative in Europe.
